Fundraising Terms & Conditions

Purpose of these terms

These Terms and Conditions outline the guidelines and expectations for individuals and groups who wish to fundraise on behalf of Kare. We believe in transparency and accountability, and we want to ensure that all fundraising activities align with our mission, values, and regulatory obligations. 

Event coordination

Kare is happy to support your efforts with guidance for coordinating your event. However, organisers retain full responsibility for managing the overall activity and expenses. Your fundraising effort must not incur any costs to Kare. If you plan to approach businesses for contributions, sponsorship, or in-kind gifts to support your activity, we ask the fundraiser to seek approval from Kare in advance. This is to avoid inadvertently jeopardising our existing/ planned relationships with corporate supporters. 

The fundraiser must ensure that any celebrities/personalities they approach for support, share the ethos and ideals of Kare. Any costs or expenses exceeding 50% of the anticipated revenue must be documented and agreed with Kare prior to the planned event proceeding.  

Responsibility of fundraiser

1. Adherence to Fundraising Guidelines

All fundraising activities must comply with the Charities Regulator’s Guidelines for Charitable Organisations on Fundraising from the Public in Ireland. Fundraisers must ensure that: 

  • Activities are conducted in an honest, transparent, and respectful manner. 

  • Donors are not misled about how their funds will be used. 

  • All legal and regulatory requirements are strictly followed. 

2. Consideration for vulnerable individuals 

All fundraisers, volunteers, and third-party representatives must take care not to place undue pressure on individuals who may be in vulnerable circumstances. 

A person may be considered vulnerable if their ability to make an informed decision is impaired due to factors such as age, mental health, illness, learning disability, or life events. 

Fundraisers must avoid soliciting donations where there are reasonable grounds to believe the individual may not be able to give informed consent. If in doubt, fundraisers should seek guidance from Kare's Fundraising Department. 

Kare reserves the right to refund donations made under such circumstances and expects all fundraising activity to be carried out with respect and dignity for all individuals. 

3. Compliance with Standards 

All fundraisers must ensure adherence to both Kare’s Fundraising Terms and Conditions and all applicable regulatory standards as required under Irish law. 

Branding – promoting your fundraising efforts  

When advertising your activity, please note that Kare should not be used in the naming title for your event. The charity is included as beneficiary of the net proceeds only. For example: ‘(Your Event Name) to benefit Kare. Kare's charity number must be included also (20009700).

Fundraisers are asked to contact our Fundraising team in advance of sharing any promotional material that incorporates the Kare logo for approval. Our team are here to help proof your designs prior to production, distribution or publication. Where fundraising activities aim to support more than one charity, fundraisers should ensure that details of all relevant charities and how proceeds will be shared is clearly stated on all promotional materials.  

Liability and insurance

Kare provides insurance coverage for volunteers participating in official, Kare approved fundraising activities. All fundraising activities must be pre-approved by Kare's Fundraising Department to ensure they fall within the scope of this insurance coverage. 

Any events or activities undertaken without prior written approval from the Fundraising Department are considered outside the scope of official Kare activities, and volunteers engaging in such events are solely responsible for arranging appropriate insurance coverage. Kare accepts no liability for unapproved activities. 

Compliance with laws and requirements

Your activity must comply with all applicable laws during all stages of your planning, promotion and running of the event. Fundraisers agree to ensuring all insurance, garda permits/ licenses (e.g. lottery) are in place until your activity ceases.

Transparency and communication

Kare believe it is vital that our supporters and donors are informed about the allocation of their funds. In accordance with our commitment to transparency, community-led fundraisers must clearly communicate to their donors if a portion of the funds raised will not go directly to Kare. This includes specifying any costs associated with participation in the event. If funds are being split between Kare and another organisation, this must be explicitly stated to ensure that all supporters and donors are fully informed about how their contributions will be utilised. 

Handling funds and donations

The security of our fundraisers is priority. Please ensure your personal safety and integrity when handling cash. We ask all fundraisers to ensure all monies are counted with an independent witness present. Fundraisers are prohibited from opening a bank account in the name of Kare. All cheques donated towards your efforts must be made payable to Kare and forwarded to Kare as promptly as reasonably possible for processing. The fundraiser agrees that all net proceeds must be submitted to Kare within 5 days of the conclusion of the event. This requirement is also necessary to comply with collections held under Garda permits. Should your supporters request individual receipts, please provide a list including name, address, telephone number, email and donation amount and we will be happy to arrange receipts.  

Identification requirements

To ensure transparency and public trust, all fundraisers representing Kare must always carry clearly visible identification during fundraising activities, which includes:  

  • The name of the individual or group fundraising 

  • Kare’s name and logo

  • Kare’s registered charity number (20009700) 

  • Kare’s contact details

This applies to:

  • Community-based fundraisers acting on behalf of Kare. 

  • Kare organised fundraising events or activities. 

Fundraisers must ensure that their identification is accurate, professional and aligns with Kare’s branding guidelines. 

Disclaimer

Kare reserves the right to decline any association with third-party events that do not align with Kare’s ethos, values or that may pose a reputational risk. 

Kare provides insurance coverage for volunteers participating in Kare-approved fundraising activities. Volunteers engaging in activities outside of this scope may need to arrange their own insurance cover. 

Kare’s insurance does not cover personal property belonging to you, your supporters or volunteers.
